At ETA Courier, we value the trust you place in us when applying to join our fleet. This policy explains how we collect, audit, and protect your personal information through our internal compliance systems.
- Information We Collect
When you submit an application via our portal, we collect the following categories of data:
- Identity Data: Full name, date of birth, and contact details.
- Compliance Documentation: Scanned copies of your Driving License, DVLA share codes, and vehicle insurance documents.
- Financial/Vault Data: Bank details for payment processing.
- Operational Data: Your preferred courier type (Van, Taxi, or Multidrop).
- How Your Data is Audited
To maintain the highest safety standards, our management team uses a secure internal Auditing Dashboard. This tool allows us:
- To Verify Credentials: Reviewing uploaded documents to ensure they meet legal and safety requirements.
- To Track Status: Monitoring your application progress from “Pending” to “Approved.”
- To Maintain Accuracy: Ensuring that only active, verified drivers are present in our operational systems.
- The “Vault” & Secure Storage
We take your sensitive data seriously.
- Encrypted Storage: All documents are stored in secure, non-public directories on our servers, protected from outside access.
- The Vault System: Sensitive payment information is held in a “Vault” state. Once an administrator has verified this information for payroll setup, the policy dictates that this data is purged (permanently deleted) from our web database to reduce long-term risk.
- Data Retention & Deletion
We maintain your records only as long as they are required for operational and compliance purposes:
- Active Records: Your data is held on record while your application is being processed or while you remain an active driver with our fleet.
- Total Deletion: When a driver is removed from our system—whether by request or at the conclusion of their partnership with us—all associated personal data, files, and documents are immediately and fully deleted. We do not store “ghost” records or backup copies of your sensitive documentation once you have been removed.
- Access Control
Access to your personal data is strictly controlled. Only authorized personnel with compliance-level permissions can access the Auditing Dashboard. Every action taken (viewing a file, approving a driver, or purging a record) is logged in an internal Audit Log to ensure total accountability.
- Your Rights
As a driver, you have the right to:
- Request a copy of the data we hold about you.
- Request the immediate deletion of your documentation (which will result in removal from the fleet).
- Correct any information that is inaccurate or out of date.
